    In enterprise software, conversion means task adoption. We designed the Lead Management System interface to make follow-ups effortless, with one-click call logging, automated reminders, and a pipeline view that ensured overdue leads were impossible to miss overlook entirely.

    Teachers and campus managers access the platform on school computers, personal laptops, and mobile phones. We built fully responsive interfaces across four applications — ensuring timetable checks and attendance marking worked seamlessly from any device for users everywhere.

    A unified component library across all four applications enabled a teacher trained on the School Management System to intuitively navigate the HR portal, significantly reducing training time and accelerating adoption across the organisation within the organisation ecosystem framework.

  • Usability Testing & Iteration

    We ran structured UAT sessions with staff across user roles at three campuses, measuring task completion times, error rates, and satisfaction scores, with findings directly prioritising the final iteration backlog before public launch, ensuring readiness for final release.

Our Approach

Step 1

Research & Discovery

We conducted three-week operational research across Language Link campuses shadowing admissions coordinators HR mapping data touchpoints manual handoffs and systems identifying 23 inefficiencies prioritising by impact and scoping four-application ecosystem systematically driving transformation.

Step 2

Strategy & Experience Planning

Defined phased delivery strategy starting with School Management System as data foundation, followed by Lead Management System, HRMS and public websites built on shared data layer, enabling adoption training before introducing each application.

Step 3

UX/UI Design & Prototyping

We designed role-specific applications instead of a monolithic platform with permissions. Each user sees only relevant context, tasks, and data: admissions pipeline, teachers timetables, HR compliance, and leadership gets complete visibility full insights.

Step 4

Development & Optimization

We built a microservices backend enabling independent scaling for each application. API integrations ensured data changes in one system automatically propagated across all relevant modules, eliminating manual syncing and duplicate entries data redundancy.

Step 5

Testing & Continuous Improvement

We ran a six-week parallel operation where staff used both new platform and old tools to validate data accuracy and identify gaps before decommissioning, while post-launch analytics tracked adoption rates and task completion times.
